Constitution

CLUB CONSTITUTION(Amended 11th May 2006 and binding from this date) Athletic Union Clubs and their members are bound by the AU Constitution, AU Policy, LUSU Constitution, and its bye-laws and the University Constitution and its bye-laws. 1. Club Objectives: To promote the sport of women’s football within the university and to represent Lancaster University in BUSA and other recognised student competitions by;Ÿ         Achieving the best competition results possible.Ÿ         Welcoming and encouraging new members to the club regardless of standard or ability.Ÿ         Encouraging members to continue playing after leaving university.Ÿ         Fostering a feeling of ‘team spirit’, both on and off the pitch. 2. Membership: Before an individual may join our club, they must first:Ÿ         Be affiliated to the Athletic Union (Whatever form this may take).Ÿ         Pay the clubs membership fee.Ÿ         All members are bound by the AU Constitution.Ÿ         The club has no liability for damages to members. Membership is then open to all female part time or full time undergraduates and post graduates of Lancaster University, providing that they have read and signed the club’s code of practice. 3. Executive Committee: All the business of LUWFC shall be organised by the Executive Committee. The Executive committee is to be elected at the AGM at the end of the Lent term. The Executive Committee shall consist of at least:Ÿ         ChairŸ         TreasurerŸ         SecretaryŸ         CaptainŸ         Vice CaptainŸ         Safety OfficerŸ         Social Secretary Executive Committee officers must uphold any rulings/decisions made by the Athletic Union.For the AGM to be Quorum 5% of membership is necessary. Captain:Main point of contact with the Athletic unionResponsible for collecting any relevant information from the AU and passing it to the rest of the club.Represent the club at AU general meetingsOrganises training, co-ordinating with a coach/ manager to a level which has been previously agreed between the two, and carries the support of all members of the executive committee. Organises the general running of the club.Responsible for organising match times, venues, referees etc.Responsible for picking the best team for weekly matches with the help of the vice captain and coach.Responsible for the performance of the team and team morale.  Vice Captain:Assisting the captain in duties which are delegated to herAD-Hoc Duties. Chair:A Consultative person, responsible for organising and chairing exec meetings and AGM.Constant communications with the AU about fixtures, referees and transport.Represent the club at AU general meetings.Responsible for co-ordinating the activities of the Exec.Responsible for sorting out any problems within the club.Must complete Grant Form with the help of the captain.Must attend Sponsorship meetings with the social secretary.Collect and organise kit orders. Treasurer:Responsible for organising the clubs funds.Constant communication with AU and finance office.To manage club accounts and to keep the exec up to date with position of accounts.To collect match fees.Responsible for the collection of any debts to the club.Collect and Organise Kit Orders. SecretaryTo take all minutes of exec meetings and general meetings.Responsible for general administration duties.Maintain Web site.To be delegated tasks by other exec members (to be agreed by the chair).  Safety OfficerResponsible for collecting first aid kits before matches.Responsible for organising all aspects of first aid training during matches.Must also learn and be sure to enforce the clubs equal opportunities policy. Social Secretary:Organising club socials on a regular basis.Must ensure that all members of the club have their needs catered for I.e. non-alcoholic socials.To arrange annual club dinner.Responsible for organising tour.To secure Sponsorship deals All Contact details of the exec shall be given to the AU. 4. The role of a coach or manager Any new coach must be approved by the Athletic Union and seven members of the exec. In the case of a disagreement a vote should be taken. In this case the majority rules. Team Selection and tactics: The captain picks the team and tactics with consultation from the vice captain, and is open to suggestion from the coach/manager. Ultimately in the case of any disagreement the captain has the final say. Team Selection and tactics during the game:Discussion should be made before the game and at half time as to any possible substitutions. Any emergency substitutions or changes in tactics must be agreed to by the captain before implemented. Training: The main role of any coach is that of organising training with the help of the captain and the vice captain. The Coach/Manager shall be paid at the discretion of the members of the exec, which should be agreed with the coach/manager prior to the beginning of the season and the AU. Which shall be re-assessed annually at the first meeting after the AGM.  5. Election of committee Members: Every year, LUWFC shall re-elect the new executive committee. Only members studying at Lancaster University shall run for committee positions. Voting will take place at the clubs AGM before the Easter vacation commences. Officers are elected for one year but may be re-elected for the next. Should any member of an executive committee be deemed to not be fulfilling their roles, the club may hold a vote of no confidence. This vote must take place at an official emergency general meeting, in order to implement any changes.   6) Handover: After the new exec has been voted into place, the handover period must begin. This includes introducing the new exec to the AU, the new exec ‘shadowing’ the old exec, and the new exec’s contact information to be given to the AU. 7) General Meetings: The Au and all club members must be informed of general meetings of the club with at least five days  notice.The clubs executive committee shall give a club report to the members which includes the financial status of the club and any matches/ fixtures coming up.The constitution can be changed by a 2/3 majority at a general meeting providing that the AU Executive ratifies the change. The change will start stated in the amendment or as the date of ratification.  8) Athletic Union general meetings: The Athletic Union will hold a general meeting in the beginning of week 1, Michaelmas and Lent term. Attendance is compulsory for all members of the executive committee and any apologies must be submitted to the AU  President one day prior to the AGM.The Athletic Union will hold the Annual General Meeting in week 8 of Summer Term. 9) Code of conduct: Written by the club and submitted to the AU President.The Clubs code of conduct will be enforced and adhered to at all times in correlation with the AU Policy, AU Constitution, LUSU Constitution and bye-laws, and the University Constitution and bye-laws. 10) Club Colours: Full Colours: Awarded for active commitment to the club every year it has been possible (I.e. 3 years for most students or two years for those who spend their second year abroad, also taking into account other debilitating occurrences such as serious injury).Half colours: Awarded for active commitment to the club for one or more seasons. 11) E.G.M: This can be called by the Executive or 2.5% of the members.One weeks Notice must be given.If a position on the Executive Committee becomes vacant, elections for that position will occur at an E.G.M.  DUTY OF CARE:Each individual member owes a duty of care to fellow members of this club and other clubs. Any club member who acts in such a way as to deliberately cause harm or injury to a fellow member and/or who displays open and persistent disregard for the club code of practice will be disciplined by the club executive committee and may face expulsion from the club. Where the activity involves sharing public space club members also have a duty of care to members of the public.
